Event Details

Exhibition Hall Guidelines:

The 75th Anniversary Convention begins a new tradition with a multi-focus Exhibition Hall, which will include a Health Fair, Graduate School Fair, and Career Fair, in addition to various other vendors and exhibits. Exhibition Hall will be open Thursday through Saturday, October 20-22, 2005; the focus day for the Graduate School and Career Fair will be Friday, October 21, 2005.

Come one, come all! The public is welcome to attend the exhibition for a nominal donation. All proceeds will benefit the NPHC Foundation.

Exhibitor Fee Schedule:
Graduate School Recruitment $150.00
Vendor/Exhibitor $250.00
Career Fair $300.00

***The main day for the Graduate School and Career Fair is Friday; October 21. Booth rental for each additional day is $75.00.

Vendors selling affiliate paraphernalia displaying the "logo" or "shield/escutcheon" of an affiliate organization must be on the approved list of the organization for which the items are being sold.

Convention registration is not included in Exhibition fee.

Exhibition Guidelines & Contract:

DATE/PLACE: The Exhibition Hall will be open October 20-22, 2005, Hyatt Regency McCormick Place, Chicago, IL. The main day for the Career Fair and Graduate School Recruitment will be Friday, October 21.

RENTAL: The rental fee of each exhibit booth includes:
1. Set-up and dismantle days
2. General lighting
3. Standard heating and/or air conditioning.
4. Draped or skirted 6’X30” table
5. Two (2) chairs
6. One (1) small trashcan

Special requests such as telephones and electricity must be requested by October 6. All expenses relating to telephone, electrical installation and any other equipment provided for by the hotel will be borne by the vendor. Exhibit rates include heating/air conditioning during show hours; room lighting during show hours; and finished carpet space. Exhibit rates do not include exhibit storage; drayage (material handling); decoration, special lighting; gas, water, security service; cleaning or janitorial services; labor required to install, erect, drape or decorate exhibit booths or the exhibit area and/or to move exhibit materials in and out of the hotel.

GREEK PARAPHERNALIA: Exhibitors selling affiliate paraphernalia displaying the "logo" or "shield/escutcheon" of an affiliate organization must be on the approved list of the organization for which the items are being sold.

LOCATION: An 8 x 10 foot table will be assigned to each exhibitor on a first come first serve basis. Any movement of tables must be cleared with the Exhibition Co-Chairs at the Exhibitor’s meeting. Special furniture or backdrops are the responsibility of the vendor.

CONTRACT APPROVAL: Exhibitors will receive a confirmation receipt and welcome packet via U.S. mail or e-mail. Applicants not approved will be notified and the registration fee reimbursed.

REFUND POLICY: A request for refund may be made in writing or via electronic mail and addressed to NPHC Headquarters. State the reason for cancellation and include all contact information of the petitioner. Requests must be postmarked by Friday, September 23, 2005 for consideration. A cancellation fee of 50% will be assessed for all refunds granted and will be issued within 120 days after convention.

EXHIBIT HOURS: Mandatory meeting 10/20/05 1:00 – 1:45 PM and set-up 2:00 – 5:00 PM. The show will open at 6:00 PM. The exhibit hall will close at 6:30 PM, Saturday, October 22, 2005.

SHIPPING & HANDLING: All displays and/or materials and supplies shipped to the hotel must include the following and be paid in full prior to delivery; CODs will be returned to sender without notice.
1. Return address
2. Name of Group (NPHC 63RD BIENNIAL NATIONAL CONVENTION)
3. Group contact (Kat Frerichs, Sales Manager, or Diane Markus, Convention Service Manager)
4. Name of person that will claim package(s)
5. Date of that person’s arrival

Packages may not arrive more than one (1) week prior to convention. A storage fee will be accessed for items held more than one day (20lb.or more = $5.00/day; skid = $10.00/day).

A handling fee will be assessed on all incoming and outgoing packages:

Incoming Letter & Boxes: (per item)
1-20 lbs = $5.00
21-100lbs. = $15.00
101-200 lbs. = $50.00
skids = $200.00

Outgoing Letter & Boxes: (per item)
1-20 lbs = $5.00
21 lbs. or more = $10.00

SECURITY/LIABILITY: Security will be arranged for the assigned room for vendors/exhibitors during non-operational hours. This room will be secured during off hours. Exhibitor shall be fully responsible to pay for any and all damages to property owned by Hyatt Regency McCormick Place, its owners or managers which result from any act or omission of Exhibitor. Exhibitor agrees to defend, indemnify and hold harmless, Hyatt Regency McCormick Place, its owners, managers, officers or directors, agents, employees, subsidiaries and affiliates, and the National Pan-Hellenic Council, Inc., from any damages or charges resulting from Exhibitor's use of the property. Exhibitor's liability shall include all losses, costs, damages, or expenses arising from, out of, or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Exhibitor, its agents, employees, and business invitees which arise from or out of the Exhibitor's occupancy and use of the exhibition premises, the Hotel or any part thereof.

AGREEMENT: The above rules and regulations become a part of the contract between the Exhibitor and the National Pan-Hellenic Council, Inc. All areas not covered in the above regulations are subject to the discretion and decision of the NPHC.

By completing this registration process, all parties concerned have entered into, AGREED and ACCEPTED this contract as per stated rules and regulations on the date indicated on this registration receipt.

The National Pan-Hellenic Council, Incorporated (NPHC) is currently composed of nine (9) International Greek letter Sororities and Fraternities: Alpha Kappa Alpha Sorority, Inc. Alpha Phi Alpha Fraternity, Inc., Delta Sigma Theta Sorority, Inc., Zeta Phi Beta Sorority, Inc., Iota Phi Theta Fraternity, Inc., Kappa Alpha Psi Fraternity, Inc., Sigma Gamma Rho Sorority, Inc. Phi Beta Sigma Fraternity, Inc. and Omega Phi Psi Fraternity, Inc. NPHC promotes interaction through forums, meetings and other mediums for the exchange of information and engages in cooperative programming and initiatives through various activities and functions.

On May 10, 1930, on the campus of Howard University, in Washington DC, the National Pan-Hellenic Council was formed as a permanent organization with the following charter members: Omega Psi Phi and Kappa Alpha Psi Fraternities, and Alpha Kappa Alpha, Delta Sigma Theta and Zeta Phi Beta Sororities. In 1931, Alpha Phi Alpha and Phi Beta Sigma Fraternities joined the Council. Sigma Gamma Rho Sorority joined in 1937 and Iota Phi Theta Fraternity completed the list of member organizations in 1996. The stated purpose and mission of the organization in 1930 was “Unanimity of thought and action as far as possible in the conduct of Greek letter collegiate fraternities and sororities, and to consider problems of mutual interest to its member organizations.” Early in 1937, the organization was incorporated under the laws of the State of Illinois and became known as the “National Pan-Hellenic Council, Incorporated.”
